Weekly and biweekly timesheet templates
Keep the clock times, unpaid break minutes and net hours together. Download a blank PDF to fill in by hand or an Excel workbook that calculates daily and weekly hours. No account or email required.
Choose the format for the job
| You need to… | Use | What it does |
|---|---|---|
| Record hours away from a computer | Blank PDF | Print one page. Dates, times, breaks, hours and approval lines are blank. |
| Keep an editable local file | Excel workbook | Enter dates and times in highlighted cells. It totals exact minutes and displays h:mm and decimal hours. |
| Check lunch times or estimate overtime | Online calculator | Checks overlapping break ranges, supports several breaks and applies the overtime settings you enter. |
Fill one row: 09:00 to 17:30 with 45 minutes unpaid
- Write the employee's name and the first date of the workweek. Use the actual workweek start, even if it is not Monday.
- Enter 09:00 in Clock in and 17:30 in Clock out. These are 24-hour clock times.
- Enter 45 in Unpaid break (min). This is 45 minutes, not 0.45 hours. Leave paid rest time out of this deduction.
- The elapsed shift is 510 minutes. Subtract 45 to get 465 minutes = 7:45 = 7.75 hours.
Open that exact row in the calculator. For several unpaid intervals, see the break calculation examples.
What the Excel formulas calculate
The workbook has one worksheet. Highlighted cells take your name, period start, clock times, break minutes and notes. Calculated columns show net minutes, h:mm, decimal hours and an input message. Clock out before clock in means the following day, so 22:00–06:15 with a 45-minute unpaid break gives 450 minutes / 7:30 / 7.50 h.
Net minutes = ROUND(MOD(Clock out − Clock in, 1) × 1440, 0) − unpaid break minutes
One day has 1,440 minutes. The workbook totals net minutes before dividing by 60, so it does not add already-rounded daily decimals. A blank day stays blank. An incomplete time pair, identical punches, invalid time or excessive break is flagged; the period total waits until it is corrected.
The templates do not round punches, apply overtime or calculate wages. For those choices, use the calculator and read why overtime is counted separately for each workweek. They support shifts shorter than 24 hours and ordinary clock-time arithmetic; for clock-change nights use the daylight saving guide. Files are editable and formulas are not password-protected.
Before you submit the timesheet
- Check the week boundary. Keep the two weekly subtotals in a biweekly file, even when the overall total looks normal.
- Check units. 7:45 is 7.75 h. Use the minutes-to-decimal converter and chart if you need to check a value.
- Check deductions against what happened. A scheduled lunch is not proof the employee took an unpaid break. Record actual times and resolve interrupted meals before subtracting them.
- Keep a copy. Save the completed file with the period and employee name. A download does not synchronize with Shiftpad's browser-saved card.
